Villa check-in and check out times

For most houses the check-in time is from 4pm, while the check out time is 10 am. This is to allow the owners to clean and prepare the house for you. It may be possible to arrive early in special circumstances and it may also be possible to drop off your bags – please ask. If you arriving late please warn us; We will try to arrange a late check in with the owner. The owners will be provided with your arrival time and telephone number. On the day if you are running late we ask that you contact the owner directly with your updated arrival time. You will be provided with the owners number prior to your arrival.

What is included with the villa /apartment?

Clean bed and bath linen are provided, this is usually included in the price but if it isn’t– this will be detailed in the property features list. Usually there will be a shower or bath towel, a hand towel per person. The rent includes electricity, gas and hot water for general use, but unless stated heating and air-conditioning are excluded, and must be paid to the owner before departure.

I don't speak Italian, how will I communicate with the owner?

We can act as an intermedietery between you and the owner. However, most owners are very experienced and if they cannot speak English they will know how to communicate what they need.

Do you visit all the properties?

Every one of our properties is selected and vetted by us personally: we know the area, we know the owners. We usually visti properties twice per year, at the beginning and at the end of the season.

Can I provisionally reserve a property?

 We can hold properties for 48 hours for your while you iron out the smaller details. When you are ready, confirm with us by phone or email that you want to book and follow the link in the rental agreement and pay the deposit by bank transfer. We can also manage the payment over the phone. There are no charges for credit cards within the EU and UK but there is a small fee for those who are not EU or UK based.

What deposit do you require?

We usually ask for a 25% deposit, some villas take 30%. This will be outlined in the rental agreement and during the booking process.

Which currencies?

All villas are priced in £ but we also accept €.

Will you provide us with local information?

Yes we will. After you have booked, we can assist you with every aspect of your trip, through the friendly local contacts that we have made and maintained over the years.  Whether that be pre-arranging groceries, providing taxi numbers, finding you a personal cook, or helping to organise tours and activities, we will make sure your holiday is a success. 

Are your calendards up to date and how are bookings confirmed?

Most of our calendars are updated in real time. However, for some properties we still have to enquire with the owner regarding availability. Once everything is confirmed and the deposit is paid we will confirm your booking in writing. 

We have found the same villa on another site and it's called by a different name.

Although a lot of our properties are exclusive to Friends of Tuscany some owners distribute their properties through multiple agencies who may choose a different name. 

When is the remaining balance due?

Most properties ask for the remaining balance 8 weeks prior to your arrival. However, some larger villas require it a little further in advance. This will all be clear during the booking process. After the remaining balance has been paid we will send you directions and information about the house and area.

Do you give out the owner details and arrival instructions?

Yes, you will receive a detailed information sheet which includes the owners details and also arrival instructions.

What details do you pass to owners?

We provide all owners with the lead booking persons name as well as the number of people and any special requests made. Some owners will ask that you send photographs of your passports prior to your arrival so they can register you with their local council. 

How long do I have to confirm my booking and pay my deposit?

Yes, at some properties there are additional fees. These will be outlined in the rental agreement. Most property owners will collect a small tourist tax on behalf of the local authorities.

Where are your terms and conditions?

Our terms conditions are in the footer off all pages and are also outlined in the personal rental agreements we send.

What is your cancellation policy?

Upon booking we require a % non-refundable deposit. The balance is then due 8- 12 weeks (please check rental agreement) before the beginning of your stay at the property. Once the balance is paid, this too is non-refundable. However, we will endeavour to re-book any cancelled booking and if successful will only charge you an administration fee of £30. If the villa is re-booked at a lower price then you will be refunded the difference.

We require that our clients take out travel insurance to cover any unexpected cancellations. 

How can I pay?

We use the secure payment provider Stripe.  Any credit card is accepted via the Stripe platform. There will be a link in the rental agreement that takes you to the payment page. You can also arrange to pay by bank transfer and the details are outlined in the rental agreement.

Do I need Holiday Insurance?

Yes, we require all of our clients to take out holiday insurance. Please see our terms and conditions. This is to protect you from anything unexpected before or during your stay. We advise that EU residents apply for EHIC form and UK residents to apply for a GHIC card. These will allow you to use health facilities during your stay. Please also remember that you are legally required to carry a photo ID with you in Italy as well as your licence, insurance and registration document when driving.

Can I bring my pet on holiday?

Yes, many of our properties are pet friendly. We have a category on the search bar but please do contact us directly and we can send you a list. There may be an additonal fee to bring your pet but you will be notified of this. You may need to visit a local vet during your stay. Please don’t hesitate to ask us to help. If you are bringing your pet, please make sure to follow the house rules for example, no pets on the furniture on in the pool.

 

Do your homes accept weddings?

Yes, some of our homes accept weddings. We have some magnificent villas available for weddings. There may be event fees but this will be listed. Our properties that allow weddings often come with a manager who can help with the organisation, some even come with their own chapel.

We have a problem at a villa, who do we contact?

Your first point of contact should be the owner. They will try to resolve any concerns you may have. You will be given their number prior to your arrival. If a problem persists then you may contact us directly and we will try our best to resolve your concerns.

How far in advance can I book?

We can take bookings quite far in advance. However, sometimes we won’t have prices for the following year established with the owner. If you don’t see prices for your preferred dates please enquire and we will work to get them to you as soon as possible. 

How can I leave a review?

Reviews on our website come directly from our guests who have stayed with us. It is easy to write a review on our website and you will be sent a link at the end of your stay.
